I am the course convenor, my course is not set up in BBL9, who should I contact?


BBL9 course requirement are set up in Term Planning via MyUNSW. Contact your usual administrative staff who looks after term planning, please be sure to provide at least 1 course instructor. If course instructors were not specified in Learning Management page course link will not be created in BBL9. For SoMS undergraduate courses (Carmen Robinson); Exercise Physiology (Sue Cheng); postgraduate drug development courses (Jan Cooper)

Instruction for Term Planners





I need access to a BBL9 course, who should I contact?


If you are a tutor, please contact either (1) your course convenor, they are able to add tutors via MyUNSW, Academic Admin Tab (Learning Management module) see screen shot below. Or (2) any administrative staff looking after Term Planning - their names please refer to FAQ #1

Can't find a staff member in Term Planning who needs access?


Usually UNSW ID search is more effective than last name search. If this is a casual tutor who doesn’t have a UNSW ID and not set up in HR system. Please contact ITservice desk to set up a UNSWID account, new HR record needs to be set up prior to the actual pay claims. Staff HR records for casuals will be active for 12 months.




How do I make my course available to students?


BBL9 courses are set up 'off-line' by default, i.e. they are unavailable to students. When you are ready to make it available, go to Course Management (left hand side lower half menu), go to Customization, then Properties. In section 3 Set Availability, the default is No, please set to Yes if you are ready for student to access your course site.





What is a dummy student login? takes the form of sANATxxxx?


In Vista, under TEACH tab you are able to view the learning site from a Student's point of view. This is NOT incorporate in Blackboard, therefore when you are finalising all links/quizzes/assignment submission links it is advised you re-log in to BBL9 as a dummy student. Note: You will need to make your course AVAILABLE so that dummy student can have access - this is a less desirable setting as both dummy student and enrolled students will have access at the same time, however can't be helped at this stage.

As a course convenor you will receive e-mail regarding dummy student login and password. For convenience, dummy student password is set to be the same as login name e.g. for ANAT2111, dummy student login is sANAT2111 therefore the password is also sANAT2111. You are not advised to change the password just because there are multiple contributors to a single course.

If you can't log in using dummy student, the best thing is to ask a term planner in the school to change/reset the dummy student login via MyUNSW under Learning Management (not Term Planning). Please note it takes OVERNIGHT for the system to be updated.





Why can't I see Student Grades?


When you are logged in as instructor or tutor the GRADE link you are actually accessing your own grade - which is non existent. If you would like to see student grades as a whole group please go to Course Management, Evaluation, Grade Centre.





How do I download student list for editing assessment marks?


Downloading & uploading student list (with/without their marks) is available via Grade Centre again (see previous FAQ on where Grade Centre is). The tool name is called ' Work Off line' located far right hand side of the main content window (see screen shot below). If you wish to Upload data to the Grade Center, then the tip is to first download the Grade Center so that the column headers are accurate and you can enter data into a correctly formatted spreadsheet.
TIP: Always choose Tab delimited if you wish to see a nicely formatted Excel spreadsheet with the data in individual cells. (If you use comma delimited, then all the headings and the following data sit in the once cell!)


Leave all the default settings the way it is, simply click Submit.

Once you have clicked Submit, you will be presented with 'DOWNLOAD' option. Then 'SAVE' the file.

When you open the saved file, you will be prompt with the following message, simply click 'YES' to proceed.



With the spreadsheet open, leave the first three columns (FirstName, LastName, Usernames) the way it is. You can modify/edit/delete all the other columns if you wish. Once you are satisfied with the student marks and ready to upload following the instructions below.

How do I upload the student marks to BBL9?


Step1: SAVE your spreadsheet as 'Other Formats'



Step 2: Choose Text (Tab delimited) (*.txt) option from the dropdown box



Step 3: You will then be prompted with a message, click 'NO' and then click 'CANCEL' when the same message screen from Step 2 appears.


Last Step: Open BBL9, go to your course link. Under Grade Centre click 'Work Offline' - Upload
Click 'BROWSE...' from Attach local file, find your file.
Click 'Tab' option ---- IMPORTANT
Click 'Submit'






iLecture link was hidden by default, how do I make it available to student?


Make sure your Edit Mode is ON, click the double arrow next to iLecture, option to show/hide link is captured in the following screen shot







What about Quizzes? What tool should I use


The recommendation from university is to use Respondus (now version 4) available for download here (free for STAFF, not compatible with Mac OS X). Perception another popular quiz tool is currently being tested.

If you have a quiz currently created in Vista and wish to import straight to BBL9, please contact Jessica Hu as soon as possible before end of Feb 2010, as there are settings needs to be modified in Vista for the following import to be successful.

IMPORTING Quiz From Vista to BBL9 via Respondus 4( Respondus guide lines/ manual can be found here )


(1) Retrieve quiz you have set up in Vista (optional), otherwise go straight to step (2)
>Open Respondus
>
Current Personality: select Vista 3 environment
>go to
Retrieval and Reports tab (on the top tool bar)


>go to
Retrieve Questions tab (left hand navigation bar)


>Add the vista server [Name it: My Vista, Input your login detail (staff ID & Unipass/Zpass); test the connection if you wish]
>select the course (group or section)
>select the quiz, survey or category to import
>Name quiz
>Retrieve

when that's saved, go back to Start tab

(2) Publish Quiz to BB9

> change environment to Bb [note: Drop the Feedback]
> open Respondus file
> select saved file
> check questions
> select Settings tab and check random blocks (if applicable)
> set Availability settings if you wish
> go to Other Settings
> choose feedback and presentation settings
> choose answer numbering --!IMPORTANT!-- to the best of my knowledge, if this is not set in Respondus, you can't set it in BBL9 either.
> go to preview and publish tab
> preview file
> go to Publish to Blackboard tab
> click Publish wizard
> set your BB server. Note: Need to add New Server if its your first time, click No, 'Configure server manually' and then following Respondus instructions


> Next
> choose course to publish to
> name your quiz or survey
>
UNSELECT Link Sruvey to Content area --!IMPORTANT!--doesn't work properly. you will not be able to access your quiz or survey if you leave this checked, and it will not appear where it is supposed to.
> Next. Respondus will now import to BBL9. when its finished click
> Finish

(3) Deploy quiz in BBL9

>Now go to BBL9 to see your quiz of survey which will now be in the Tests, Surveys and Pools section under Control Panel > Course Tools.


>To deploy your quiz or survey, go to the content area where you want to put it, select
> Evaluate
> Create test (or survey)
> select the correct one from the list that appears
> submit
> set the desired test settings
> submit again.





What are the Do's and Don'ts?

How do I use last session's course as a template for a new course?



You are able to export your course as a template to be implemented for the new course. The two processes of exporting and importing are listed below:

To export a course as a template:

1. Login to UNSW Blackboard site (http://telt.unsw.edu.au) and enter the course site you wish to export
2. Go to Control Panel (under Course Management), and click Packages and Utilities
3. Click Export/archive course
4. Click Export on the Export/archive course page. In Section 2, leave the default setting to 'NO'.
5. In Section 3, select all course items to ensure that every part of the template course is exported (tick ALL boxes)
6. Click Submit
The exporting process will take from a few seconds to a couple of minutes or even longer. A system email will be sent to the user's nominated email account when the process has been completed. Once the course has been successfully exported, a link will appear on the Export/Archive Course page (refresh the course in your browser to see if the link is there)
7. Click the link on the 'Export/archive course' page to download the zip file
Safari users need to click on the link while holding 'Ctrl' and choose 'download linked file as…'
8. Save the zip file on local computer

To implement the template:

1. Remember where you saved the zipped template course from previous process of exporting
2. Login to UNSW Blackboard site (http://telt.unsw.edu.au) and enter the teaching course you wish the template to be implemented
3. Delete any default menu items that you don't want to use, but leave 'Course info' (important: if you have zero default menu items, you will crash your course)
4. Go to Control Panel, and click Packages and Utilities
5. Click Import Package / View Logs
6. Click Import Package button on the Import Package / View Logs page
7. On the Import Package page, browse and select the zipped template course under Section 2
8. In Section 4, select all course items to ensure that every part of the template course is imported (tick ALL boxes)
9. Click Submit
The importing process will take from a few seconds to a couple of minutes or even longer. A system email will be sent to the user's nominated email account when the process has been completed. Once the course has been imported, a link of importing log will appear on the 'Import Package / View logs' page (refresh the course in your browser to see if the link is there)
10. If the import is complete, but you don't see the new course menu, click the menu refresh button on the top right of the menu (circular arrows icon).

11. Delete or move the first menu item 'Course info' after the template course has been imported.





How do I see student's assignment submission via Turnitin?



Click on the Course Tools link from within the course to open the extended list of course tools. Click on the Turnitin Assignments link in the Course Tools section to show the Turnitin assignments for this course.

Term Planning for BBL9


Instructions on creating BBL9 requirements for the courses as part of TERM PLANNING are available for download here.
Please contact your administrator if your courses is not created in BBL9.

For Administrators:
    • There is a 24 hr - 48 hr time delay between specifying BBL9 requirement in Term Planning and course site being physically created in BBL platform.
    • It is vital to specify at least 1 instructor role in Learning Management page.
    • Once a course module is created, instructor will have assess to its module ID via BBL9 and hence be able to make any additional users in their own Academic Admin tab - additional instruction see FAQ #2




SoMS Information Management System (SiMS)



SIMS stands for SoMS Information Management System, it captures information on SoMS staff detail, work group associations, room/occupancy report, postgraduate student, progress reviews, equipment and teaching related data. This application has been developed in conjunction with MCSU programmer. SIMS is now will available to all SoMS staff and postgraduate students via UniPass login.





Cataloguing Equipment



A current list of equipment is now available to download as a spreadsheet. Thank you all for your effort in documenting these research equipment. The equipment list is also available in SiMS





Proposed SoMS File Server Structure







A new file server structure for SoMS has been proposed (diagram above) which seeks to decentralise current departmental hierarchy into shared workgroup space and teaching space. The new structure envisages shared files within each workgroups whereby a group leader may be capable of managing file access for their group members directly. Similarly a course convenor will be able to manage access permission for a particular course.
Apart from the shared file spaces, each individual staff (possibly postgraduate students as well) will be allocated a private server space from central IT directly.
